Administrative Assistant Receptionist

Informations
The administrative assistant receptionist works under the supervision of the Finance Director. The selected individual will be responsible for administrative tasks, the production of sales reports, certain accounting duties, and handling customer inquiries.

RESPONSIBILITIES 

Administrative tasks

  • Respond to customer inquiries received by phone and email;
  • Greet visitors and direct them to the appropriate person;
  • Open and distribute postal mail or other received documents;
  • Write, proofread, and translate various documents;
  • Ensure the sending, tracking, and filing of different documents;
  • Perform various tasks such as word processing, filing and record keeping, faxing, and photocopying.

Accounting tasks

  • Record customer invoices;
  • Support billing;
  • Produce weekly and monthly sales reports;
  • Process certain supplier invoices;
  • Process expense reports related to credit cards;
  • Generate various accounting reports in the ERP;
  • Perform all other related tasks.

TRAINING AND EXPERIENCE 

Holding a professional diploma in secretarial studies or a certificate of studies recognized as equivalent by the competent authority, combined with one (1) year of experience in the field.

TECHNICAL REQUIREMENTS 

  • Mastery of French both spoken and written;
  • Intermediate knowledge of English (or an interest in improving it) to communicate with English speakers, whether they are employees, partners, clients, or colleagues from Canadian branches. The number of daily calls in English may represent 20%;
  • Proficiency in Microsoft Office Suite;
  • Proficiency in Microsoft Dynamics GP software (an asset).
