Purchasing clerk

Informations
The purchasing clerk reports to the procurement director. The person is responsible for handling purchasing transactions (purchase files, reports, price lists, etc.).

RESPONSIBILITIES 

  • Negotiate the terms and conditions of contracts (prices, discounts, credit, transportation, etc.), and award and recommend contracts to suppliers;
  • Source new contacts and suppliers, prepare purchase orders for goods and services and obtain prices from contracts, the supplier’s website or the supplier;
  • Track open orders and follow up with suppliers;
  • Propose strategies to reduce costs;
  • Collaborate with and provide support to internal stakeholders to define and confirm their needs, and develop quotes related to acquisition;
  • Search for new suppliers;
  • Work in collaboration with management, staff and suppliers to solve problems.
  • Suggest improvements to work procedures;
  • Develop and maintain constructive labour relations with stakeholders, including suppliers and applicants of goods and services;
  • Apply all the guidelines used to establish and standardize the procedure for purchasing goods and services;
  • Train, support and guide the purchasing clerk;
  • Perform any other related duties related to their department.

SPECIFIC REQUIREMENTS 

Possess a DEP in secretarial studies and/or accounting and/or courses in supply chain management, combined with six (6) months of experience in a similar position.

TECHNICAL REQUIREMENTS 

  • Excellent command of both spoken and written French and English (the person will need to communicate with our suppliers outside Quebec and our Canadian and American subsidiaries);
  • Good knowledge of inventory management software;
  • Proficiency in Office tools (Excel, Word,Outlook, Access).
