Payroll Accounting Technician

Under the supervision of the Director of Finance, the Payroll Accounting Technician works closely with the Chief Accountant and the Human Resources team to ensure the processing of salaries and benefits for employees in the Canadian group. The incumbent is responsible for managing all payroll activities within the company, from validating timesheets to transmitting pay, including the preparation of various reports and remittances. They are a stakeholder in some of the organization’s projects. They will also be required to learn and take on additional responsibilities within the Finance department to assist the team at busy times in addition to helping out with various administrative tasks.

RESPONSIBILITIES

On a regular basis:

  • Validate timesheet hours and import data into the payroll processing module
  • Enter payroll adjustments such as special payments or additional deductions
  • Verify, process and record employee expense reports
  • Validate employee and employer contributions to RRSPs, group insurance deductions and any other particularities related to employee’s pay
  • Manage source deductions, taxable benefits and other deductions and make the necessary remittances (CNESST, WCB, WSIB, union dues, etc.)
  • Complete various payroll accounting entries
  • Produce terminations of employment
  • Respond to employee questions regarding payroll
  • Provide user support for the payroll system
  • Work with the Human Resources and Finance teams to ensure compliance with internal payroll policies, government regulations and the collective agreement
  • Work with Human Resources team to update employee records (salary change, insurance, RRSP, etc.)

On an annual basis:

  • Change the insurance rates in the payroll system
  • Track employee vacation banks and calculate vacation pay rates
  • Produce various year-end reports, such as tax slips and reports for government authorities
  • Assist in preparing tax and audit files
  • Assist in preparing salary-related information for grant applications and tax credits
  • Perform any other related duties as assigned by the immediate supervisor

 EDUCATION/EXPERIENCE

  • Completion of a college diploma (DEC) in accounting and management techniques or a diploma of vocational studies (DEP) in accounting, or training in human resources management combined with three (3) years’ experience in a similar position (an asset)
  • Training in payroll processing (an asset)
  • Any other combination of diplomas and/or relevant experience will be considered

TECHNICAL REQUIREMENTS 

  • Comprehensive knowledge of the Microsoft environment
  • Extensive knowledge of tax legislation and regulations related to payroll
  • Excellent communication skills, particularly in resolving payroll-related issues
  • Oral and written fluency in French, and knowledge of English or interest in improving it to communicate with Anglophone employees, partners or colleagues in Canadian branches
